Yes. Colib is the only fully bilingual (English and French) practice management platform in Canada. Both the practitioner interface and the client-facing experience (booking page, forms, emails, SMS, client portal) can be set to French or English. Clients can even receive their communications in their preferred language, which is especially valuable for practices in Québec and other bilingual regions.

Absolutely. Colib offers a fully customizable online booking portal that you can embed directly on your website or share via a link. Clients can view your real-time availability, choose an appointment type, select a practitioner (in a clinic setting), and book instantly. You can also set booking rules — such as minimum and maximum advance booking windows — to keep full control of your schedule. Alternatively, you can use appointment request forms if you prefer to review and approve bookings manually.

No. Clients can book appointments without creating an account, keeping the process as frictionless as possible. However, Colib does offer an optional client portal where clients can manage their appointments, view invoices, make payments, and access shared documents — all in one place. Clients are invited to create a portal account after their first booking, but it's never mandatory.

Colib automates client communications at every stage. When an appointment is booked, clients receive a confirmation notification with all the relevant details. Before the appointment, customizable reminders are sent by email and/or SMS (24 or 48 hours in advance), with a one-click confirmation button so you can see who has confirmed. You can also collect credit card information at booking and set up a cancellation/no-show policy as an additional safeguard. After the appointment, follow-up messages and recall notifications keep clients engaged and your calendar full.

Yes. Colib has a fully integrated telehealth tool — no third-party downloads or installations required. Video sessions run directly in the browser on any device, support unlimited participants, and include features like screen sharing, virtual backgrounds, a waiting room, in-session note-taking, and session recording. If you prefer to use Zoom, Google Meet, or another video platform, you can simply add your meeting link and Colib will include it in all appointment notifications automatically.

Yes. Colib includes a full EMR/EHR note-taking system. You can write notes directly in each client's file, use customizable note templates (such as SOAP notes) to standardize your documentation, and even dictate notes using the built-in speech recognition tool. For telehealth sessions, Colib also offers AI-powered note generation that can automatically draft session notes from your video call. Notes can be securely shared with clients through the client portal when needed.

Yes. Colib includes a powerful form builder that lets you create custom intake forms from scratch, upload existing PDF or Word documents to convert them into online forms automatically, or choose from a library of ready-made templates. Forms can be attached to appointment types so they're sent automatically when a client books, or shared manually via email or a link. When a client completes a form, their profile is created or updated automatically — no manual data entry needed. Electronic signatures and counter-signatures are also supported.

Colib lets you generate invoices and receipts with a single click directly from any appointment. You can customize your invoices, apply sliding scale fees or discounts, and support multiple currencies. For payments, Colib integrates with Stripe to accept Visa, MasterCard, and American Express. You can securely store client credit card information, send invoices with a payment link, or charge clients directly. Receipts are sent automatically after payment. You can also export invoices to QuickBooks for accounting purposes.

Yes. Colib makes migration straightforward with a batch upload tool. You can import your client records, appointment history, and clinical notes from your previous system using a simple Excel template. Upload the file, and Colib takes care of the rest. If you run into any difficulty, the Colib team is available to assist with the migration at no extra cost.

Yes. Colib is designed to scale from solo practices to multi-practitioner, multi-location clinics. You can add unlimited team members, define granular user permissions and roles, manage practice rooms, view schedules by practitioner with a column layout, and access analytics segmented by location or practitioner. Unlimited admin staff accounts are included at no additional cost on every plan.

Yes. You can sync your Colib scheduler with Google Calendar in just a few clicks. Appointments created in Colib will automatically appear on your Google Calendar. You can choose one-way sync (Colib → Google) or two-way sync depending on your preference, so you always have a unified view of your schedule.

Yes. Colib is fully compliant with PIPEDA, PHIPA (Ontario), LPRPSP and Loi 25 (Québec), PIPA (British Columbia), and the Health Information Act (Alberta). All data is hosted exclusively on Canadian servers, encrypted both at rest and in transit, and protected by multi-factor authentication. Colib undergoes regular security reviews and annual staff training to ensure the highest standards of data protection.
